How to Decline a Job Offer Without Burning Bridges

How to Decline a Job Offer Without Burning Bridges

Turning down a job offer can feel uncomfortable, especially early in your career when every opportunity seems precious. But declining is normal. You may have accepted a better fit, realized the role is not right or had your circumstances change. What matters is how you do it.

A prompt, polite decline protects your reputation. The recruiter or manager you are saying no to may hire you in the future, work at another company later or know people in your field.

Before you decline

Make sure you are certain. If something specific is holding you back, such as pay, schedule or start date, consider whether it is worth a respectful conversation first. Our guide to negotiating your first salary explains how. If you have several offers, read how to handle multiple job offers before deciding.

Principles for declining well

  • Respond promptly. As soon as you have decided, let them know so they can move on to other candidates.
  • Call or email. If you have spoken with the hiring manager by phone throughout, a short call followed by an email is a nice touch. Email alone is perfectly acceptable.
  • Be gracious. Thank them for their time and the offer.
  • Keep the reason brief. You do not need to explain in detail. A short, honest reason is enough.
  • Do not criticize the company, the pay or the process.
  • Leave the door open if you would genuinely consider working there in the future.

Use your own names and details. If the reason is private, the personal circumstances template is enough; you do not owe a detailed explanation.

What if you already accepted?

Backing out after accepting should be rare, because the employer may have turned away other candidates. If it happens, tell them as soon as possible, apologize sincerely and keep the explanation short and honest. Check your offer documents for any obligations. Doing this by phone, followed by email, is more respectful in this situation.

Stay connected

If you liked the people you met, connect with the hiring manager or recruiter on LinkedIn with a short, friendly note. Many careers include a second chance at a company you once declined.
